When Will Tour Documentation Be Provided?

We know how exciting it is to prepare for a big trip and we appreciate your eagerness to receive your final travel documents.

When will I get my documents?

Your final travel documents will be uploaded to your Traveller Hub and will be available approximately 14–30 days before departure and here's why:

  • Supplier Confirmations Happen Later
    We coordinate with a wide network of trusted suppliers — hotels, transport providers, and local guides — and many of them confirm final details closer to your departure. Waiting allows us to give you the most accurate, up-to-date information possible.

  • Last-Minute Adjustments Are Normal
    Sometimes, there are small changes in flight times, hotel allocations, or day-by-day logistics. Holding off on sending documents helps us avoid passing on outdated or incorrect information.

  • Accuracy Matters More Than Speed
    Rather than sending preliminary documents and risking confusion later, we prefer to finalize everything carefully. That way, when your documents arrive, they’re complete and ready to support a smooth experience from start to finish.

In the meantime, if you have any questions about your itinerary, you can log in to your Traveller Hub to download your preliminary travel details. 

What will be in my final documents?

Your online itinerary stays consistent — it’s the foundation of your trip. The final documents simply bring together the confirmed details, such as:

  • Hotel names and addresses

  • Any vouchers you may need

  • Final flight times (if applicable)

  • Any optional experiences you've booked

  • Emergency contact details

  • Dietary notes, name checks, and day-by-day confirmations

Once everything is set, we'll send you a notification via email and SMS, so you'll be in the loop. Your final documents will be uploaded to your Traveller Hub account, ready for you to access.

If you booked through a travel agent, your final documents will go directly to them. Feel free to reach out to your agent if you need help with your travel paperwork.

In some cases, depending on the package you selected, your final documents might come directly from one of our local partners. If that’s the case for your booking, we’ll make sure to give you a heads-up in advance.

And just a quick reminder: it’s always a good idea to check your spam or junk mail folders, just in case any important emails from us get misplaced!

Why don't you provide times for each day?

We completely understand that knowing the daily schedule of your holiday is important—especially if you're hoping to fit in additional sights beyond what's already planned. That said, travel can be unpredictable. Things such as weather, traffic, local events, and holidays can all influence how the day unfolds. Because of this, we don't advise times in advance. It allows us to adjust as needed and make sure everyone gets the best possible experience.
